Messaging Consent and CASL Policy

This policy explains how ClarityLedger asks for, records and respects consent for WhatsApp, SMS and email, under Canada's Anti-Spam Legislation (CASL) and WhatsApp Business rules.
1. Types of messages

2. How consent is given
- In the app: a checkbox that is not pre-checked, with the consent text shown.
- WhatsApp group: before joining, each adult confirms the group consent text (see Consent Texts). The group has a maximum of 8 adults.
- By message: replying START or YES to an invitation.
- The club never gives consent on behalf of a person.
3. What we record
For each consent: person, channel, purpose (service or marketing), exact text shown, date and time, source (app, invite, WhatsApp, email), season, and date of withdrawal. Records are kept as proof for 3 years after the account ends.
4. Withdrawal
- SMS and WhatsApp: reply STOP. Email: unsubscribe link in every message. App: Settings > Notifications. Or leave the WhatsApp group.
- We stop within 10 business days, usually at once, and we send one short confirmation.
- Withdrawing marketing consent does not stop service messages. Withdrawing service consent stops reminders and statements to that person; the club will be told so it can use another way.
5. Renewal every season
At the start of each season, the app asks each member and guardian to confirm or change their choices. If a person does not confirm within 30 days, service messages continue only where the law allows, and marketing stops.
6. What every message includes
- Who is sending it: "ClarityLedger Sports for [Club name]".
- How to contact us: agent@clarityledgersports.com.
- How to stop: STOP or unsubscribe link.
7. AI assistant messages
- Automated messages from the AI assistant are allowed within the limits above.
- The assistant always says it is an AI assistant when it first joins a group or starts a conversation.
- The assistant does not send household names or balances in group chats, does not give financial, legal or tax advice, and asks for a "Yes" before recording anything from a chat command.
- Messages are sent only between 8:00 and 21:00 local time, except replies to a user message.
8. SMS
SMS is sent through Canadian long code or short code rules and carrier guidelines. Message and data rates may apply. Frequency depends on club activity (usually 1 to 4 messages per month).
